Scope
This Privacy Policy applies to the DataBot Reporting Portal, related DataBot service endpoints, and support for those services. DataBot is operated by DataBot Solutions, LLC ("DataBot," "we," "us," or "our").
Information we process
- Business account information, such as a user's name or email address, organization, account role, permissions, and account identifiers.
- Operational records submitted or generated through the service, such as customers, workorders, ledger entries, device identifiers, certificates, reports, images, videos, and export selections.
- Security and technical information needed to run the service, such as session identifiers, IP address, browser or client information, request timestamps, API activity, and diagnostic or error records.
- Communications you send to us for account administration, support, or service questions.
We do not intentionally collect information about individuals for marketing, advertising, or consumer profiling. Customers should not submit consumer personal information unless they are authorized to do so and it is necessary for their use of the service.
How we use information
We use information to authenticate users, enforce account and workorder permissions, maintain operational records, generate reports and certificates, deliver authorized shares and downloads, support users, protect the service, diagnose failures, and meet legal obligations.
Cookies and local browser storage
The portal uses only essential authentication and session cookies for sign-in and security. It may use local browser storage to remember interface preferences or reconnect a user to an in-progress export. We do not use advertising cookies or third-party behavioral tracking in the portal.
When information is disclosed
We disclose information only as needed to provide the service: to authorized members of the applicable account or customer relationship; to a person using an authorized sharing link; to infrastructure, storage, email, and other service providers acting for us; or when required by law or necessary to protect the service and its users. We do not sell portal information.
Customer-controlled data
Organizations using DataBot determine what operational records they submit and who may access them. For information submitted by an organization, contact that organization first to request access, correction, or deletion. We assist account administrators with appropriate requests, subject to contractual, security, backup, and legal-retention requirements.
Retention
We retain account, operational, security, and support information for as long as reasonably needed to provide the service, preserve required business records, maintain security and audit history, resolve disputes, and comply with law. Retention may also be governed by an agreement with the applicable organization.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect the service and its records. No transmission or storage system can be guaranteed completely secure. Users are responsible for protecting their credentials and for sharing reports or access links only with intended recipients.
Your choices
You may update available account information through the portal or contact your account administrator. You may also contact us about access, correction, or deletion requests. Some information may need to be retained for security, contractual, or legal reasons.
Changes to this policy
We may update this policy as the service or applicable requirements change. We will post the revised policy here with a new effective date.
